Monthly Service Packs!

Accero is making the commitment to our customers to have consistent methods for addressing reported problems with the 6.0.2 release. Starting in January and ending in August, Accero will be releasing a monthly Service Pack. These packs will be bundles of PNs that will address a different area of the 6.0.2 release each month. It is our goal to make the Service Packs easy to install with a minimal testing effort required by our customers. Message from the President

Where has the year gone? The Latin expression “tempus fugit” means time flees or flies. An American expression adds a special twist to those classical words: “Time flies … when you’re having fun.” In looking back over the year, we certainly had our share of fun, starting in early February with the release of version 6.0, our biggest software release in over a decade.

Okay, full disclosure, it wasn’t just a lot of fun, it was also an incredible amount of work. So hats off and congratulations all around to our software, QA, and consulting teams—and to everyone else who contributed to the success of the release. They put in very long hours and their effort truly paid off. In addition to the 6.0 Accero Cyborg solution, at the same time we introduced Fast Forward, our first true browser-based user interface.

By mid-year, we had introduced Accero On-Demand, our first fully-featured Software as a Service (SaaS) delivery model. Also this year we introduced a PSO system audits to help customers gain more value from their licensed software, a “lite” version of our Benefits Self Service module, and a quick-turn option for our consulting engagements.

In October, we joined many of you in San Antonio, Texas, for the annual Cyborg Users Association conference, where we shared our vision and you shared your Accero experiences. At the conference, we showcased upcoming products as well as our increasingly popular Fast Forward user interface. We were also very pleased to present the 2009 ACE Award Winners at the conference.

We were busy on the infrastructure front, as well. We officially moved our headquarters to Lake Oswego, Oregon, and moved our Chicago work force into new office space on the 36th floor of the 110-floor Willis (formerly Sears)Tower, the tallest building in North America. We added executives to our staff, along with key employees across all sites.

And, throughout it all, we found time to celebrate our 35th anniversary!

When you read this issue, you’ll see that the fun and the hits keep coming. In this newsletter, we announce our hands-on, self-paced product demos that let you better evaluate Fast Forward and Self Service before investing in them.

We’re also pleased to talk about our new and exciting Business Intelligence application, available early next year. Decision-making has never been easier—or more spot on. You get a full data mart, dashboard charts and graphs, and pre-defined reports. Our featured product in the issue is Accero On-Demand, our SaaS service delivery option. Additionally, Phil Cunningham, our new executive sales VP, offers his insights on what’s ahead from his team in our Conversations column.

With 2009 coming to a close and 2010 fast approaching, I leave you with one more Latin expression: crescit eundo or, as we like to say in English, it grows as it goes. In its original context, the expression referred to a thunderbolt, which grew in strength as it moved across the sky. It’s just another way of describing dynamic progress.

Introducing Hands-On, Self-Paced Product Demose

New Fast Forward and Self Service Demos Let You Play Before You Pay

Rather than have us spin words about the many benefits of our new user interface, Fast Forward, and our highly efficient Self Service modules, we thought it would be better if you actually had a chance to take these products for a spin on your own.

And now you can, thanks to our new hands-on product demo. . A fully functioning self-paced demo with an attached database that lets you use the products as you would normally in your job. The demo’s easy-to-follow tutorial walks you through several common scenarios, including searches and reporting, to give you a feel for how these solutions will help you day to day.

Here are a few actions you can perform in the demo:

  • Searching - Fast Forward’s Advanced Search tool enables you to go beyond the top level search and produce very specific results, making it easy to locate the information you are looking for with just a few keystrokes. For example, in just seconds you can identify all active employees who belong to a union, or you can create a list of all employees in a particular department and then export that list.
  • Locating - The Fast Forward interface gives you several ways to quickly locate an employee: by name (both by spelling and phonetically), ID, or social security number. You’ll be able to export whatever you find in a variety of formats.
  • Viewing – To make your processes more efficient, Fast Forward lets you add a particular screen to your favorites. In this case, if you wanted to add the Employee Emergency Contact Form to your favorites, you could do so in only a few steps.
  • Reporting – When you use the demo, you’ll see that reporting has never been easier. For example, if you want to quickly get a report of all active employees, you can use the ‘Jump To’ function to locate the report you wish to run. In short, you’ll be able to quickly view all related reports and pages, as well as export or share them.

Accero’s demo environment also lets you test-drive our Self Service modules: Employee, Manager and Benefits. For the Self Service trial, you can access all features and screens:

  • Using Employee Self Service you’ll see how convenient it is for employees to view and update personal information, view pay details, request time off, and so on.
  • When you test drive the Manager Self Service module, you’ll have immediate control over staff requests or HR related data changes, and be able to review data on direct reports.
  • Benefits Self Service offers secure, online access to company benefits information. The hands-on demo will show you how easy—and practical—it is to empower employees to make their own enrollment changes electronically.

Product Roundup: Accero On-Demand

Accero recently sponsored a survey of APA members. Among our findings, we learned several interesting things about the APA membership’s understanding of SaaS (Software as a Service). For example, many members liked the idea that SaaS means their software is always up to date and that their managers and employees would have anytime-anywhere access to the system.

They also liked that a SaaS deployment translates into lower maintenance costs and would require less technical support. Yet they did express some concerns: Is SaaS secure, for example, and is it reliable?

2009 CUA Conference Recap

We were pleased to see so many of you in October at the annual Cyborg Users Association conference, where we had a great time networking, learning and enjoying the wonderful sights and amenities of San Antonio, Texas. For those who were unable to attend, here are a few conference highlights:

  • Tom Malone, Accero’s CEO, shared his vision for the future of Accero.  In addition, he announced some exciting new product and services developments that customers will want to learn about and budget for in 2010.  New products and services include a new Reporting and Business Intelligence application, enhanced Self Service modules, and a new Disaster Recovery service that will soon be available.
  • Fast Forward continues to impress with its easy to use and efficient interface. We were treated to many success stories from customers who have already seen results in accuracy and efficiency from their Fast Forward implementations.
  • Accero announced the 2009 Accero Customer Excellence Awards winners (see ACE Awards story later in this issue).
  • Training class content was extremely strong this year, thanks to our team of knowledgeable presenters and their focus on extensive class preparation.

CONVERSATIONS: Phil Cunningham Shares His Sales Vision

First, congratulations on joining Accero as senior vice president of sales and, of course, welcome! Could you tell us about your background?

Thank you. I’m very excited to be part of the latest chapter in Accero Cyborg, especially at this point in time.Previously, I was the VP of sales and business development at Fidelity HR services. Before that, I held several senior leadership positions at ADP, where I did a lot of strategic planning, sales goal development and incentives. At ADP, our sales force numbered about a thousand. All in all, I’ve been managing sales for more than 20 years, and often as a key contributor at Fortune 500 companies.

Why did you choose Accero?


I was extremely impressed with the executive team at Accero and the work they had accomplished in such a short amount of time.  That, coupled with a solid foundation of the Cyborg solution, made it clear that we had an opportunity to make great strides in the HCM arena.

What’s ahead for the Accero sales organization?


In a few simple words….training, specialization and growth.  We will continue to focus on our client base and we will use that knowledge and expertise to grow our business with new name accounts for Accero in the upcoming years.

Moving forward, what can customers and prospects expect from the Accero sales team?


A structured approach to account management that will ensure our clients are in fact “raving fans” and they are aware of all of the great updates we are making to our suite of solutions.

Do you have any particular customer initiatives you’d like to discuss?


I think clients should be on the lookout for more information on our newest solutions, such as Dashboard Analytics, Disaster Recovery and Accero On-Demand.

What HR or Payroll software trends do you still on the horizon?


There are many trends to comment on and like most things everyone has an opinion. That said, I think three items will continue to be focus items for HCM Professionals.  The first is Analytics, which will continue to be a focus item for HR and Payroll Departments as they look to become more and more strategic for their respective businesses.  The second is the SaaS model, which will continue to gain momentum across HR/Payroll professionals as it has over the past few years.  Finally, Talent Management will continue to mature as an HCM offering as more and more companies will adopt strategies to help them manage their most valuable asset….their associates.

2009 limits reflect issuance of IRS Notice 2008-102, 2008-45 I.R.B. 1107 (November 10, 2008) and the corresponding Social Security Administration News Release (October 16, 2008).

Federal Withholding
The 2009 Recovery Act provides in 2009 and 2010 tax years, a refundable income tax credit through a reduction in payroll withholding levels or by claiming the credit on a personal income tax return. Percentage methods and wage bracket withholding tables have been issued for wages paid on and after January 1, 2010. The changes include 2 additional wage brackets in the Single and Married withholding tables.
Non-resident aliens (NRA) do not qualify for the credit provided in the Making Work Pay provision of the American Recovery and Reinvestment Act. Two modifications are made to the percentage method withholding tables to more accurately determine the amount of income tax to be withheld from the wages of nonresident alien employees working in the United States.

  • 1st, add an amount to wages before determining withholding under the percentage method in order to offset the standard deduction built into the withholding tables. For 2010, the annual amount is updated to $2,050 (previously $7,180) for federal tax code 102, table 7.
  •  2nd, an additional amount of withholding from a separate table applicable only to nonresident alien employees is added to offset the effect of the Making Work Pay Tax Credit which is built into the federal annual withholding tables.

2010 Form W-4, Employee’ Withholding Allowance Certificate
Form W-4 for 2010 is available on the Internal Revenue Service's website.
Employees claiming a full exemption from federal income tax in 2010 must file a new Form W-4 to maintain an exempt status. If a new Form W-4 is not filed by the expiration date of Feb. 16, 2010, employers are to withholding as if the employee were single and claiming no withholding allowances until the employee submits a new Form W-4.
The form also instructs nonresident aliens to refer to Notice 1392; which has not been released by the IRS.

Alaska Employee Unemployment Insurance
The employee UI tax rate will remain at 0.5%. The increase in the taxable wage base for 2010 increases the employee portion of unemployment tax contributions to $170.50 (previously $163.50 in 2009).

California State Disability
The SDI rate in California remains unchanged at 1.1 percent in 2010. The taxable wage limit is $93,316 for each employee per calendar year (previous wage limit in 2009 was $90,669). The 2010 maximum amount to withhold per employee is $1,026.48, up from $997.36 in 2009.

Hawaii State Disability
An employer may withhold TDI contributions of one-half the premium cost but not more than .5 percent of the employee’s weekly wage, with the maximum not to exceed $4.51 (previously $4.39 in 2009). An employer may not deduct premium cost from an employee who does not meet the eligibility requirements of Section 392-25, HRS.

New Jersey Unemployment and Disability
Unemployment/Disability Rates in New Jersey are assigned on a fiscal year basis (i.e. July 1st to June 30).  All new employers (except successors) are assigned new employer rates for the first three calendar years after which a calculated rate is assigned based on employment experience. 
The total employee contribution rate increases to 1.045 percent from January 1 through December 31, 2010, as employees are required to contribute 0.12 percent to the state's family leave program (FLI).

Pennsylvania Employee Unemployment Insurance
Pennsylvania employee unemployment tax for 2010 is increasing to 0.08 percent (.0008) tax on employee wages, or 80 cents on each $1,000 earned. The employee withholding UC tax is to be submitted with each UC-2/UC-2A Quarterly Report. Employee withholding is not limited to the $8,000 taxable wage base for employer contributions; it applies to the total wages paid in 2010.

Indiana County Taxes
Carroll, Clark, Clay, Madison and Wabash counties have adopted new county option income rates that will go into effect Dec. 1, 2009. These rate changes were adopted after Oct. 15 and before Nov. 1, which makes them effective Dec. 1.

Ohio School District

A schedule of Ohio School District withholding taxes effective January 1, 2010 is available reflecting several new and changes in the school districts percentage rates.
 Employers should use the same wage base and number of exemptions they use for withholding Ohio income tax and use the school district withholding tables, unless the school district income tax is based on earned income. For school districts with an income tax based on earned income, the withholding is a flat rate equal to the tax rate for the district with no reduction or adjustment for personal exemptions.

The Challenge:
The Salvation Army is the largest non-governmental direct provider of social services in Canada, serving 400 communities. In total, approximately 11,000 employees support the organization across all provinces. A great many of The Salvation Army’s 400 branches, called ministry units, in Canada were doing their own payroll, either locally or by outsourcing the effort through a payroll services provider. The Salvation Army worked with a multitude of government funders and donors, all of whom demanded better reporting and accountability.

The Solution:
The organization’s decision makers concluded the best solution to their pay equity and compliance problem would be to centralize all ministries and regions on the same application platform. Centralization would ensure consistency and accuracy, as well as provide the integrated reporting their current approach lacked.

Since The Salvation Army in Canada and Bermuda had been successfully running its Ontario Headquarters site payroll with the Accero Cyborg module for six years, the decision to centralize on the module was the next logical step. Accero Cyborg was flexible enough to enable the organization to customize, where needed, to meet unique Territorial requirements. It was also robust enough to handle the more than 10,000 employees it would need to support.

The Results
: The Salvation Army in Canada and Bermuda is fast on its way to reducing or eliminating their payroll outsourcing costs and third-party benefits management fees. All employees currently served by the Accero Cyborg module are paid from one central location using one central system. Reconciliation has been greatly simplified, and many Territorial policy inconsistencies and non-compliance issues have been resolved or eliminated.  It’s a win-win for the organization: they are saving money and achieving greater compliance.
